As the Event Coordinator for our company, you will play a pivotal role in orchestrating successful events across multiple cities and regions. Your primary responsibility will be to ensure the seamless execution of each event, from venue selection and vendor negotiation to on-site coordination and post-event evaluation.  This jobs requires Spanish and English proficiency. 

  • Travel up to 70% of the time in the first year , with travel expenses covered.
  • Immediate availability to start is preferred.

Responsibilities

  • Plan, coordinate, and execute a series of events across various cities in the United States.
  • Travel to various locations across the United States to organize and oversee events.
  • Identify and secure suitable venues, negotiate contracts, and manage vendor relationships to ensure the best value for our budget.
  • Source and negotiate contracts with vendors, including caterers, florists, photographers, and audiovisual suppliers.
  • Communicate effectively with vendors to ensure all requirements are met and contracts are fulfilled.
  • Develop comprehensive event timelines, budgets, and logistical plans, taking into account regional differences in culture, regulations, and logistical challenges.
  • Collaborate closely with internal stakeholders, including marketing teams, executives, and remote staff, to align event objectives with overall company goals.
  • Liaise with external partners, such as venues, sponsors, and local authorities, to obtain necessary permits, permissions, and support for each event.
  • Coordinate travel arrangements and accommodations for staff attending events, ensuring smooth logistics and timely arrivals.
  • Monitor and evaluate event performance, gathering feedback and implementing improvements for future events.
  • Utilize strong project management skills to effectively plan, prioritize, and execute multiple events simultaneously, ensuring deadlines are met and objectives are achieved.
  • Handle any last-minute changes or unforeseen challenges with poise and professionalism, maintaining the integrity of each event.

Qualifications

  • Bilingual English/Spanish
  • Bachelor's degree in Event Management, Hospitality, Marketing, or related field preferred.
  • Proven experience (3+ years) in event coordination and planning, with a focus on managing events on a national or multi-city scale.
  • Ability to travel to various locations across the United States to organize and oversee events as needed. 
  • Strong negotiation skills and experience in vendor management, with a track record of securing competitive pricing and delivering high-quality services.
  • Excellent project management skills and organizational abilities, with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Exceptional communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders at all levels.
  • Flexibility and adaptability to navigate unforeseen challenges and adjust plans accordingly.
  • Project management experience is preferred.
