Overview

Your role will be an essential part of our Criminal Legal Line. You will be contributing to a variety of tasks that support our legal operations. Your role will involve (among others) requesting, handling and managing documents and records, facilitating their movement within and outside the Firm to ensure operational efficiency, submitting fingerprints to government agencies, and moving cases and tasks from one stage to the next. Your role will also involve following up on tasks assigned, and making sure third parties (such as government agencies and courts), provide complete, timely, and accurate responses.

 

The position requires engagement with a broad spectrum of activities, from record retrieval and document submission to supporting case management and scheduling interviews. Your work will span across different areas, interacting with multiple stakeholders, including government agencies and clients, to maintain the flow of necessary documentation. Additionally, you will assist in ensuring that all documents are accurate, up-to-date, and retrieved or submitted in a timely manner.

 

Your role is also key in providing support across various departments, particularly in tasks that require meticulous attention to detail and adherence to legal protocols. Excellent customer service skills are essential, as you might be interacting with clients through various communication methods to provide updates or request documentation to support the case.

 

This position offers the opportunity to engage in a wide range of responsibilities that are crucial to the Firm's success, requiring flexibility, adaptability, and a proactive approach to problem-solving. Your role requires strict compliance with the metrics, goals and Key Performance Indicators (KPIs) informed to you by your supervisors or managers.

Responsibilities

Record and Document Management:

  • Secure and organize records from a variety of sources (government entities, clients, other entities), utilizing multiple methods for retrieval and submission.
  • Maintain a systematic approach for tracking and accessing records to support legal cases.

Criminal Record Analysis:

  • Assess criminal history reports and follow the procedures to locate and request criminal records from the correct agencies.
  • Determine whether a client’s criminal history would be problematic for the type of relief they are seeking. If further guidance is needed, escalate the case to the correct individuals.

Evidence Handling:

  • Collect and manage evidence required for case support from clients, courts, and other entities.
  • Ensure the integrity and completeness of all collected materials.

Caseload Management:

  • Oversee a portfolio of cases, ensuring timely progress and adherence to legal standards.
  • Utilize case management tools for effective tracking and documentation.

Communication and Coordination:

  • Serve as a liaison between the firm and external agencies, clients, and other relevant parties.
  • Ensure clear, concise, and effective communication across all channels.

Organizational Excellence:

  • Priorities collection of records/submission of fingerprints for cases with near court appearances, meetings, and other case-related deadlines.
  • Work collaboratively with various colleagues, departments, and external partners to meet Firm objectives.
  • Perform other related duties, as assigned, to align with our Firm values.

Customer Service:

  • Provide top-tier customer service, addressing client inquiries and concerns with promptness and professionalism.

KPI’s, metrics and goals:

  • Strictly comply with the metrics, goals and Key Performance Indicators (KPIs) informed by the supervisors or managers.

Qualifications

  • Bilingual in English (minimum B2) and Spanish.
  • Bachelor's Degree (advanced degrees preferred) and two years of professional experience.
  • Proficient in Microsoft Office Suite.
  • Exceptional attention to detail and accuracy in document preparation and case management.
  • Exceptional critical thinking and problem-solving skills.
