A Payroll Specialist is a crucial member of the finance and human resources team in any organization. This role focuses on ensuring that employees are paid accurately and on time, while also maintaining compliance with all relevant regulations and internal policies.

Responsibilities

Processing Payroll

  • Accurately calculating employee wages, salaries, overtime, and deductions.
  • Ensuring timely submission and processing of payroll in accordance with company schedules.
  • Handling payroll discrepancies and resolving issues promptly.

Compliance and Reporting

  • Maintaining compliance with federal, state, and local payroll regulations.
  • Preparing and submitting payroll reports to management and regulatory bodies as required.
  • Keeping abreast of changes in payroll laws and regulations and implementing necessary updates to the payroll system.

Data Management

  • Maintaining accurate and up-to-date payroll records and employee files.
  • Ensuring the confidentiality and security of employee payroll data.

Customer Service

  • Providing excellent customer service to employees regarding payroll-related inquiries.
  • Assisting employees with understanding their paychecks, deductions, and benefits.

Qualifications

  • Bilingual: English
  • Degree in Accounting, Finance, Human Resources, or a related field is preferred. Equivalent work experience may be considered.
  • Minimum of 3-5 years of payroll processing experience, preferably within a large organization.
  • Certification as a Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is highly desirable.
  • Proficiency with payroll software (e.g., ADP, Paychex, QuickBooks).
  • Strong understanding of payroll laws and regulations.
  • Advanced Excel skills for payroll calculations and reporting.
  • Attention to detail to ensure accuracy in payroll processing.
  • Ability to identify and resolve payroll discrepancies effectively.
  • Excellent verbal and written communication skills for interacting with employees and management.
  • Ability to explain complex payroll information clearly and concisely.
  • Strong time management skills to meet payroll deadlines.
  • Ability to handle multiple tasks and prioritize effectively.
