Overview

The Office Manager plays a key role in ensuring the smooth and efficient operation of the office environment. You will be responsible for managing administrative tasks, coordinating office procedures, and providing support to various departments.

Responsibilities

  • Oversee and coordinate day-to-day administrative activities.
  • Manage office supplies and equipment, ensuring their availability and functionality.
  • Develop and implement efficient filing systems for easy document retrieval.
  • Supervise office maintenance and repairs.
  • Collaborate with vendors for facility-related services.
  • Ensure a safe and clean working environment for employees.
  • Handle incoming and outgoing communication, including emails, phone calls, and mail.
  • Draft and edit official documents, memos, and reports.
  • Coordinate internal and external meetings, including scheduling and logistics.
  • Provide administrative support to various departments.
  • Assist in the recruitment process, including scheduling interviews and onboarding new employees.
  • Foster a positive office culture and promote teamwork.
  • Manage office budgets and expenses.
  • Process invoices and maintain financial records.
  • Collaborate with the finance department on budget planning.
  • Oversee the maintenance and functionality of office technology, including computers, printers, and communication systems.
  • Troubleshoot basic IT issues or coordinate with the IT department for support.
  • Organize and coordinate office events, meetings, and conferences.
  • Manage logistics, including venue selection, catering, and audio-visual requirements.
  • Ensure compliance with company policies and procedures.
  • Stay informed about relevant regulations and implement necessary changes to maintain compliance.
  • Performs other related duties as assigned.

**PLEASE NOTE: THIS IS AN ONSITE ROLE IN OUR SAN ANTONIO OFFICE**

Qualifications

  • Bachelor's degree in related field of study or equivalent years of experience. 
  • Bilingual: English/Spanish.
  • 2+ years of professional working experience, preferably as an Office Manager. 
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite and basic knowledge of office technology.
  • Familiarity with budget management and financial record-keeping.
  • Problem-solving and decision-making skills.
