We are seeking an experienced Paralegal Supervisor to oversee the daily operations of our paralegal team. This role is responsible for managing case distribution, monitoring key performance indicators (KPIs), enforcing processes, and ensuring timely case progression. The supervisor will be instrumental in identifying and resolving case backlogs, enforcing service level agreements (SLAs), and maintaining compliance with firm standards and legal requirements. Additionally, they will oversee team training, approve time-off requests, and develop standard operating procedures (SOPs) to enhance efficiency and consistency.

 

This is an onsite job in Miami, FL.

Responsibilities

  • Key Responsibilities:

    • Case Management & Workload Distribution:
      • Assign and balance caseloads among paralegals based on workload capacity and case complexity.
      • Monitor case progression and identify delays or inefficiencies.
      • Implement strategies to clear backlogs and improve processing times.
    • Performance Monitoring & Compliance:
      • Track and enforce KPIs to measure team productivity, efficiency, and quality of work.
      • Conduct regular audits of casework and filings to ensure compliance with firm policies and immigration regulations.
      • Run and analyze case reports to assess team performance and operational effectiveness.
      • Ensure adherence to SLAs and other internal deadlines.
    • Process Improvement & SOP Development:
      • Develop, document, and enforce SOPs to standardize workflows and improve consistency.
      • Implement process improvements to enhance efficiency and reduce errors.
      • Ensure that team members adhere to established firm protocols and best practices.
    • Team Training & Development:
      • Train and mentor new and existing team members on immigration procedures, firm policies, and case management tools.
      • Shadow team members to provide real-time feedback and identify areas for improvement.
      • Organize ongoing training sessions to keep the team updated on regulatory changes and best practices.
    • Administrative & Supervisory Duties:
      • Review and approve Paid Time Off (PTO), sick leave, and other scheduling requests.
      • Address and resolve personnel issues related to performance, attendance, or workflow disruptions.
      • Serve as a point of escalation for complex cases or procedural questions.
      • Collaborate with attorneys and other department managers to align paralegal support with case priorities.

Qualifications

  • Minimum of 1-3 years of experience as a paralegal, with at least 1-2 years in a leadership or supervisory role.
  • Strong understanding of immigration law, case processes, and regulatory requirements.
  • Experience managing case workflows and enforcing KPIs.
  • Ability to develop and implement SOPs and process improvements.
  • Strong analytical and problem-solving skills to identify and resolve backlogs.
  • Excellent communication, leadership, and training abilities.
  • Proficiency with case management software and reporting tools.
  • Highly organized, detail-oriented, and capable of handling multiple priorities in a fast-paced environment.
