We are seeking a highly organized and detail-oriented Department Manager to oversee a fast-paced department focused on mail receiving and processing correspondence from USCIS and clients and submitting client cases to USCIS. This role requires strong leadership, process efficiency, and excellent client communication skills to ensure seamless operations and timely case management.

This position is onsite from our office location in Yakima, Washington, and may require some travel to other locations of operation.

Responsibilities

  • Oversee the receiving, processing, and distribution of all incoming and outgoing mail, ensuring accuracy and efficiency.
  • Manage case submissions and the processing of client documents, maintaining compliance with legal and procedural requirements.
  • Balance workload effectively, ensuring deadlines are met while maintaining high-quality standards.
  • Implement and optimize workflows to enhance operational efficiency.
  • Maintain clear and professional communication with clients, ensuring they receive timely updates and support.
  • Lead and support a team across different locations, fostering a detail-oriented and process-driven work environment.
  • Utilize Six Sigma principles to improve department efficiency and reduce errors.
  • Create and execute comprehensive communication plans that align with client/company needs.
  • Oversee all communications, correspondence and documentation related to clients.
  • Track and analyze key metrics for all team members ensuring adequate staffing is maintained.
  • Develop and implement processes to streamline client communication, improve efficiency, and ensure timely delivery of information.
  • Ensure all client communications comply with the company’s best practices.
  • Work closely with other departments to ensure alignment of communication strategies and messaging.
  • Monitor the progress of corresponding mail, identify potential issues or delays, and take proactive measures to address them.
  • Maintain accurate and confidential records, ensuring compliance with legal and ethical standards.
  • Train team members on efficient correspondence processing.
  • Performs other related duties as assigned.

Qualifications

Bachelor’s degree in Business, Marketing, or a related field (or equivalent experience).
● Proven experience in client management or customer service roles.
● Strong communication and interpersonal skills.
● Problem-solving and conflict resolution abilities.
● Analytical skills to interpret data and identify improvement opportunities.
● Familiarity with CRM software and customer feedback tools.
● Ability to work collaboratively in a team and across departments.
● Customer-centric mindset with a focus on continuous improvement.
